Job Description:
JOB DESCRIPTION: The School Registrar serves as the organizational heartbeat of the school community by managing learner records, enrollment processes, compliance documentation, and family communication systems. This role ensures that all learner information is accurate, confidential, and accessible while creating a welcoming and supportive experience for families, guides, and learners.
The ideal candidate is detail-oriented, warm, organized, tech-savvy, and able to balance administrative precision with compassionate communication.
SPECIFIC DUTIES AND RESPONSIBILITIES (Other duties as assigned)
Attendance & Compliance
Monitor daily attendance and support attendance follow-up procedures.
Manages late arrival and early pickup processes
Maintains transcripts and school records
Maintain compliance with state enrollment and attendance requirements.
Prepare records and documentation for audits, reporting deadlines, and state submissions.
Support immunization tracking and required health documentation.
Maintain required compliance documentation.
Family & Community Communication
Serve as a welcoming first point of contact for families, visitors, and community members.
Respond to emails, phone calls, and questions regarding enrollment and records.
Support communication related to school events, deadlines, and registration updates.
Help families navigate school systems and processes with patience and clarity.
Administrative Support
Assist with scheduling, report cards, learner portfolios, and school documentation.
Support coordination of school events, exhibitions, and family conferences.
Collaborate with leadership and guides to ensure smooth school operations.
Maintain office organization, filing systems, and administrative calendars.
Support lunch program coordination
Receives and delivers mail
KNOWLEDGE AND SKILLS:
Knowledge of Synergy
Knowledge of Google suite
Must be able to read, write, and speak the English language.
Knowledge of applicable Federal, state, county and city statutes, rules, regulations, ordinances and codes and ASCB policies and procedures, including Arizona Department of Health Services regulations.
Knowledge of the principles of confidential file, records and database management.
Skill in establishing and maintaining confidential and public information, files, records and databases.
Skill in establishing and maintaining effective working relations with co-workers, vendors, students, parents, the general public and others having business with the school
Skill in operating a personal computer and printer utilizing a variety of software applications.
MINIMUM QUALIFICATIONS: A high school diploma or GED, AND one (1) year of relevant secretarial, clerical, customer service or closely related experience OR any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
OTHER REQUIREMENTS:
Must possess or obtain an Arizona IVP Fingerprint Clearance Card.
Must be able to pass a background clearance check.
May be required to work outside the normal working hours.
May be required to lift and/or carry heavy, bulky supplies, materials, equipment and other items weighing up to 35 pounds.
May be required to possess and maintain a valid Arizona driver's license

Our instructional approach at Phoenix Modern provides learners with significant opportunities to play an active role in their own learning and shape the community. On a typical day, learners engage in self-paced core skill development using a variety of tools and resources, participate in guided discussions, and immerse themselves in multi-week projects and workshops. Our mixed-age elementary and middle school studios are prepared for 20-25 learners, representing 2 grade levels in each studio.
Job Type: Full-time M-F, hourly, following the school calendar.
