Job Summary

Are you a seasoned administrative professional with a strong interest in high-level office operations? Maricopa Community Colleges is seeking an Administrative Specialist Senior- Legal to join the Office of the General Counsel!

This role plays a key part in supporting departmental operations by providing advanced administrative and secretarial support, as well as project coordination. The position works closely with multiple attorneys and regularly interacts with internal customers, including executive leadership, as well as external partner organizations. Responsibilities include managing a variety of administrative functions to help ensure the office runs smoothly, efficiently, and with a high level of professionalism.

TheAdministrative Specialist Senior- Legal will collaborate with a wide range of stakeholders across the District, supporting daily operations while maintaining strict confidentiality and attention to detail.

Essential Functions

70% Administrative Support

• Schedules, prioritizes, and coordinates administrative office support for meetings, events, or office services.

• Provides customer support and specialized administrative support for multiple department professionals and the office at large.

• Performs project management duties, including tracking progress, organizing records, drafting and managing agendas, and note-taking.

• Manages the lifecycle of records and documentation, from designing and formatting complex original documents to maintaining databases and files.

• Oversees office logistics and fiscal matters, including travel coordination, purchase orders, billing, and the continuous improvement of internal workflows.

• Adheres to established policies while proactively identifying more efficient ways to work.

20% Communication

• Acts as a primary resource for internal and external inquiries, providing detailed policy/program information, referring requests to the appropriate resource, or resolving issues as needed.

10% Other duties as assigned

Minimum Qualifications

Associate's Degree from a regionally accredited institution and two (2) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support, and/or administrative coordination activities.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above, sufficient to successfully perform the essential duties of the job, such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

• Three (3) or more years of experience working as an administrative assistant, or directly related work experience.

• Demonstrated ability to function independently and thoughtfully.

• Exceptional attention to detail and effective organizational and time management skills, including the ability to organize and manage complex files and navigate complex processes accurately.

• Demonstrated experience with coordinating and maintaining multiple calendars, schedules, and lines of communication (such as email accounts and department phone lines).

• Demonstrated experience working with highly sensitive information while exercising confidentiality and professionalism.

• Demonstrated experience in navigating and managing document and legal file organization software systems.

• Demonstrated experience managing travel, purchase orders, and billing, and other related office matters.

• One year of full-time relevant MCCCD experience during the previous two years.

Special Working Conditions

Work requires in-office presence for the majority of the time, with some flexibility for remote work.

May be required to sit for a prolonged period of time, viewing a computer monitor

May be required to lift or carry up to 25lbs.
