Job Description:

The High School Administrative Secretary provides comprehensive administrative support with a primary focus on athletics and operations. This position supports the administrators at all levels, athletic staff, students, families, and community partners by managing communication, records, scheduling, and operational workflows while ensuring efficient day-to-day functioning of the high school.

This position performs a wide range of administrative and operational duties requiring independent judgment, strong organizational skills, and the ability to manage multiple priorities in a fast-paced school environment. The role serves as a key communication and coordination point for athletic programs, school events, and campus operations.

Examples of Duties

  • Serves as a primary point of contact for students, parents, staff, and community members; answers phones, emails, and in-person inquiries and directs individuals to appropriate staff or resources.
  • Provides administrative support to the athletic department including scheduling support, communication with coaches, coordination of athletic events, and maintaining athletic records and documentation.
  • Assists with coordination of athletic eligibility documentation, participation forms, transportation schedules, and event logistics.
  • Maintains digital and physical records including student files, athletic participation records, personnel documentation, and operational records in accordance with district policies.
  • Assists with game day and event preparation including facility scheduling, visitor coordination, and communication with officials, visiting teams, and support staff.
  • Prepares correspondence, reports, spreadsheets, and presentations using modern office and district software systems.
  • Supports campus operations by coordinating facility use requests, monitoring office supplies, and initiating purchase requisitions or work orders when needed.
  • Assists with student attendance documentation and related reporting as assigned.
  • Receives, sorts, and distributes incoming mail and deliveries; processes outgoing correspondence and packages.
  • Maintains calendars, schedules meetings, and coordinates appointments for administrators or athletic staff as needed.
  • Assists with substitute teacher coordination, onboarding documentation, and record maintenance when required.
  • Creates flyers, announcements, newsletters, and digital communications to support school programs, athletics, and community engagement.
  • Supports school communications including website updates, digital announcements, and social media coordination related to athletics or events when applicable.
  • Operates and maintains standard office technology including computers, printers, copiers, and communication systems.
  • May perform district notary duties if certified.
  • Performs other related duties as assigned.

Knowledge, Skills, and Abilities

Knowledge of:

  • Modern office procedures, administrative practices, and record-keeping systems.
  • School operations and athletics program support functions.
  • Digital office platforms including word processing, spreadsheets, email, and data management systems.
  • Student information systems and scheduling platforms commonly used in K-12 education.

  • Organization, time management, and multitasking in a busy school environment.
  • Professional communication with students, staff, parents, and community members.
  • Preparing reports, correspondence, and operational documents.
  • Using office technology including computers, printers, copiers, and multi-line phone systems.

Pay for this position starts at $16.00 per hour.
