Job Summary:
- The Grant Technology Coordinator position is a critical position in Grants Management, as it is directly responsible for the processing of systematic development and support, internal and external user interfacing, and other critical components of the Grants Management Enterprise system (GME).
- This position supports both LEAs and SEAs with other needs related to the GME system and provides technical assistance related to a variety of grants received by LEAs.
· Occasional in-state and rare out-of-state travel is required for this position.
The Arizona Department of Education currently utilizes a hybrid work environment, with up to two days of remote work (contingent upon business needs). Candidates should apply with an ability and willingness to work in-office up to five days per week as business needs necessitate.
Job Duties:
- Provide help desk support services to external and internal customers with Grants Management Enterprise (GME) system and Grants Management related questions; work/coordinate with ADE IT to ensure companion access system(s) support GME access and functionality as it relates to internal users
- Assist Program Office personnel and their team members to interpret policies and grant requirements for grant funding purposes within GME system; research and resolve issues by providing technical assistance and coaching
- Maintain and create all Funding Applications and any related procedures in the GME system; coordinate and facilitate the process for creating GME Funding Applications with Program Office personnel, recommending the most efficient system functionality possible; develop requirements for vendor(s), as applicable, based collaboration with Program Office personnel
- Coordinate, manage, and facilitate with the GME Vendor and internal customers fiscal year end processes, including completion report updates in the GME system to ensure changes are made and in time for coming fiscal year end
- Identify, track, and seek out deficiencies within the GME system; research and facilitate a solution to correct them using Grants Management process and procedures; work with GME vendor to identify and resolve internal support items caused by system issues and other system related processes
- Conduct testing on GME system processes and procedures and identify and correct issues through coordination with GME vendor
- Track and test any new GME system changes and enhancements and complete system audits; identify issues with recommendations for resolution
- Support and assist with GME reporting for agency leadership and Program Office personnel, either per regular reporting schedule or on demand based on need
- Make recommendations to the Grants Management Technology Director of GME process and procedure changes and systematic enhancements within system;
- Assist the Grants Management Technology Director with the assessment of new systems and/or processes by making recommendations relating to Grants Management functions, policies, and procedures
Knowledge, Skills & Abilities (KSAs):
Knowledge in:
- Working experience with Structured Query Language (SQL)
- Basic knowledge of Hypertext Markup Language (HTML)
- Basic knowledge of project management, practices and procedures
- Basic technical terms, software and practices as it relates to Information Technology (IT)
- Knowledge and understanding of business methods, procedures and practices
- Basic methods and techniques of accounting and fiscal management
- Associate’s degree in business or technology or a related field, or equivalent experience to substitute for the degree, is required.
Skills in:
- Organizational skills that allow for multiple important projects to be managed simultaneously
- Excellent written and verbal communication skills that allow for technical information to be presented clearly to a non-technically oriented audience (system users)
- Interpersonal skills to effectively interact with supervisors, peers, and client personnel
- Advanced skill in using Microsoft Word and Excel
Ability to:
- Manage multiple tasks and produce accurate and timely documents, reviews and reports as required
- Provide great customer service and technical support to internal and external customers through email or phone
- Conduct research and use analytical processes to identify issues
- Apply creative thinking in developing situations

Selective Preferences:
Preference will be given to those applicants with:
· Experience with grants management business rules, policies, procedures, and grants fiscal management
· Experience with GME and/or other systems applications, SharePoint, WordPress, and Drupal

Retirement:
You will be required to participate in the Arizona State Retirement System (ASRS) upon your 27th week of employment, subject to waiting period. On or shortly after, your first day of employment you will be provided with enrollment instructions and effective date.
