The Business Office Manager provides essential onsite support to ensure the smooth daily operations of the organization. This role combines administrative, financial, and executive support responsibilities, requiring strong organizational skills, attention to detail, and sound judgment. The Business Office Manager oversees a variety of operational and administrative functions, including managing financial processes (such as budgeting, purchasing, and vendor coordination), maintaining office systems and supplies, and supporting leadership with calendar management, scheduling, and correspondence. Serving as a central point of contact for staff, vendors, and partners, this position ensures efficient communication and execution of office procedures. This position plays a critical role in supporting a productive, organized, and collaborative work environment while ensuring accuracy and accountability in both administrative and financial operations.
QUALIFICATIONS:
Bachelor’s Degree in Business Administration, Business Management, Marketing, Accounting, Finance, Communications, or other related areas, required.
3 years of experience in Office Management.
Ability to speak, read and write in Spanish, preferred.
Experience in a K-12 educational environment, preferred.
Experience supervising staff to achieve customer service goals.
Active Arizona Department of Public Safety (DPS) issued IVP Fingerprint Clearance Card.
Any equivalent combination of experience, training and/or education from which comparable knowledge, skills and abilities may be considered.
DUTIES AND RESPONSIBILITIES:
Manage financial processes for the Admin Services team; purchase requisitions, purchase orders, credit card balancing, and other duties as assigned.
Primary key holder responsible for opening and closing the Business Office Monday - Friday.
Ensure the office environment is clean, organized, safe, and well-maintained. This involves managing facilities, coordinating repairs, maintenance, overseeing all office security measures, and making recommendations to improve the shared office space.
Provide exemplary support in the office, which includes greeting visitors, providing assistance or direct inquiries to the appropriate individuals or departments, and managing the incoming and outgoing mail.
Support Chief Administrative Officer, Chief Financial Officer, Chief Technology Officer, and Chief People officer with calendar management, meeting minutes, presentation planning, and other administrative tasks.
Oversees organizational business office operations, utilizing independent judgment and initiative.
Coordinate meetings, conferences, and events. This involves scheduling, arranging venues, sending invitations, placing orders, preparing materials, and ensuring smooth logistics during the events.
Provides strategic recommendations to leadership in the development, implementation, and evaluation of new or modified operating policies, practices, and procedures within the specified areas of organizational/school operations, financial management (accounts receivable and payables), business development and student support services.
Serve as the primary point of contact when there are customer issues related to operations and respond to inquiries from leadership team, students, parents, teachers, staff members, educational partners, and vendors.
Create, implement and administer operational policy and process.
Manage the organization-wide SOP Catalog; communicating with leadership, providing best practices, and completing an annual review.
Evaluates and resolves problems within scope of position.
Helps to develop procedures surrounding Admin Services functions as well as provide support to team members to execute procedures.
Assists in Human Capital processes on behalf of Admin Services teams.
Assists in preparing formal reports and presentations.
Utilizes student database information to provide point in time information for school/organizational use.
Prepares formal reports and presentations.
Maintains confidentiality while complying with all local, state, and federal policies.
Develops and manages projects as assigned by the Admin Services leadership team.
Manages the Business Office Coordinator; provides short- and long-range goals; monitors and evaluates the team and team members effectiveness, and effects changes required for improvement.
Additional duties may be assigned as necessary.
SUPERVISORY RESPONSIBILITIES:
Directly supervises employees. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include decisions related to selection, performance appraisal, discipline and salary recommendations.
Build strong and empowered teams by providing direction, delegation, counsel, mentoring and expertise to individual team leads, while retaining overall responsibility and accountability for results.
Promote and encourage the development, training and promotion of staff members to assure the perpetuation of a professional and competent workforce.
KNOWLEDGE, SKILLS AND ABILITIES:
Demonstrates excellent reading, writing, computation, technology and communication skills.
Possesses strong organizational skills and time management abilities, with attention to detail..
Ability to perform a variety of clerical, administrative and reception desk tasks efficiently.
Demonstrates ability to communicate effectively both orally and in writing.
Skilled in English composition, grammar, spelling, and punctuation.
Demonstrates ability to develop format reports and submit documents on behalf of the school.
Demonstrates a collaborative and service focused approach when working with staff.
Knowledge of standard office practices and procedures.
Familiarity with bookkeeping principles and records management systems.
Demonstrates ability to maintain strict confidentiality and handle sensitive information with discretion.

UCENT, 5 days per week
TRAVEL:
Occasional travel may be required for site visits, meetings, trainings and/or conferences. Locations may vary and may require overnight stays.
