Job Description:

ASA’s mission is to inspire creative thinkers and leaders through providing an innovative concentration in college preparation informed by the performing arts.

The Operations Director leads the Operations Team and is critically important to the successful and efficient running of the campus. The Operations Team includes all office and facilities personnel and is responsible for the day-to-day functions of the school and its resources and is responsible for all aspects of  office operations, facilities maintenance, campus safety, repair, and technology. This position works closely with the School’s Principal to develop systems and procedures, which will facilitate safe and orderly functioning of the day-to-day school operations and to plan for future needs of the organization.  This is a “hands on” position and requires a continuous improvement mindset focused on supporting the instructional staff and leaders to ensure that they can remain focused on teaching and learning. This is a 12-month salaried position that aligns with the campus operations calendar, focusing on school maintenance during periods when students and faculty are not on campus.  

Reporting to the Operations Director is the School Operations Team which includes: the Facilities Specialist, Front Office Staff, the Student Enrollment and Campus Life Manager, contracted services including IT, cleaning, and landscape and all other vendors related to the operations of the school. The Operations Director may delegate oversight of vendors to appropriate team members as appropriate.

The Operations Director reports to the Principal and serves on the Senior Leadership Team.

Essential Duties and Responsibilities

School Operations

  • With oversight from the Principal, develops the school-wide operations vision that supports and operationalizes the academic, artistic, and cultural vision of the school.

  • Promotes and maintains a positive and effective school climate by ensuring that all interactions with staff, students, parents, and the public at large are prompt, efficient, helpful and friendly.

  • The Operations Team is responsible for the day-to-day functions of the school and its resources to support safe, efficient and effective learning environments.

  • Hires, supervises, evaluates , and develops the School Operations Team.

  • Plans and leads regularly scheduled Operations (Ops) meetings.

  • Recognizes operational problems and impediments and reports them promptly with options for solutions to the Principal; promotes and assists with constructive resolutions.

  • Develops, manages and closely monitors the school operations budget approved by the Executive Director.

  • Develops and ensures satisfactory delivery of all contracts with vendors and consultants, including those delivering IT support, custodial services, landscape services, construction, web hosting, food service, transportation, and copiers.  

  • Acts as the School Safety Officer for all fire and security systems and all Emergency and Safety procedures including the evaluation and revision of ASA’s Emergency Response Plan, training and documentation. Ensures compliance to all Board-approved policies related to these documents. 

  • Investigates circumstances of employee on-the-job injuries, prepares required documentation, and reports safety hazards to the Principal.

  • Oversees the development and implementation of a comprehensive  strategy for student recruiting, enrollment and continuance including a robust student life program. 

  • Establishes and maintains professional and cooperative working relationships with all stakeholders: parents, students, staff, neighbors, partners, and the City of Phoenix.

  • Working with the Business Director, evaluates and administers property and liability insurances. 

  • Maintains contemporary tracking and disposal of all fixed assets collaboratively with the Business Director.

  • Schedules transportation services as needed for curricular and designated extracurricular activities. 

  • Oversees the implementation of the school lunch program including requirements, procedures required by the National School Lunch Program (NSLP) Guidelines.

  • Other duties as assigned.

Facilities

  • Oversees all aspects of facility issues, including maintenance, managing staff/vendors, aesthetics, shared space agreements and campus safety.

  • Recommends facility improvements to the Executive Director.

  • Develops and implements the short- and long-term maintenance and improvement plans for the campus grounds and facilities, managing all related staff and vendors.

  • Regularly conducts facilities walkthroughs and supervises the maintenance, custodial and landscape crews to ensure grounds and equipment represents high standards for cleanliness, attractiveness, safety, and supports a conducive working and learning environment.

  • Communicates with stakeholders on campus matters related to safety, traffic, and parking. 

  • Prepares and processes Facility Use Agreement forms using established school procedures.

  • Manages the Facilities Calendar and coordinates facilities use for all non-curricular and rental activities. 

  • Maintains all construction drawings and manuals.

  • Maintains the school Asbestos-Containing Materials (ACM) management plan and associated documents. 

  • Schedules and maintains compliance with all regular inspections (fire, elevator, etc)

  • Programs and manages the Energy Management Systems on campus.

  • Maintains and leads procedures for after-hours security matters.

Technology

  • Coordinates with technical vendors and suppliers including hardware, network, communications, and software support vendors.

  • Oversees managed contract services.

  • Troubleshoots basic IT issues and provides limited support to school personnel in lieu of vendors.

  • Sets up and maintains individual emails, group emails and other G Suite applications and Administrator functions.

  • Maintains contemporary accounts for maintenance and retention of all technical equipment including student Chromebook management.

  • Develops and monitors a continuous technology plan aligned with school priorities.. 

  • Coordinates ASA’s USAC E-Rate program to maximize value of ASA’s technology investments.

  • Works with the Assistant Principals to provide hardware and software needs for standardized testing implementation.

Minimum Qualifications

  • Bachelor’s Degree.

  • Project Management experience preferred.

  • Experience in analysis, implementation, and evaluation of IT systems and their specifications preferred.

  • Valid Arizona Department of Public Safety Identity Verified Prints (IVP) card.

Required Knowledge, Skills, and Personal Characteristics

  • Must be able to type and use various computer software applications including proficiency in the latest version of Microsoft Office Suite and G Suite.

  • Ability to establish and maintain effective working relationships with other administrators and school personnel.

  • Demonstrated leadership and team-building skills.

  • Ability to work independently with minimum supervision.

  • Excellent organizational skills.

  • Ability to communicate effectively, in writing as well as verbally.

  • Ability to walk for extended periods of time and lift up to 45 pounds.

  • Must be able to communicate clearly over the telephone and in person.

  • Must be available to work some weekends and nights as needed.

  • Must have reliable transportation.
